Ecocert-QAI Japan Ltd. is an organic certification company. We are part of the Ecocert group, which certifies over 50,000 clients worldwide. Our role in the group is to manage Japan Agricultural Standards (JAS) organic certification. We have grown from 120 clients in 2005 to 190 clients in 2006. We will expand to 250 clients in 2007. We have done this growing by improving our productivity with the same number of people. One tool is mailtank. Mailtank allows communication to be recorded. Comments are a godsend. Comments save people from the cc bcc nightmare. They clarify what people want. If you cc someone, what does that mean? Read it? Respond? Act? Comments allow someone to say “read this” or “What should I do?” and force it to be to one person.

Every morning mail is assigned to the person in charge. Throughout the day, these messages are answered. We use over 25 templates to allow part-time staff to answer email they would not be able to answer otherwise. MailTank’s offsite, centralized team based email is a huge value. I also really like being able to comment or instruct someone using comments. This is brilliant.

MailTank has changed our business. It changes it in a way that makes it easier to manage email.
